Design Story

Last year, my sister graduated from NYU with a bachelor's in liberal arts. I was so excited not only because she graduated, but the light in her eyes she got from completing this monumental degree and celebrating this moment with her friends and family. With graduating came a party, she wanted a rooftop bay-side party to celebrate. Planning a graduation party for my sister was exciting, but also challenging. Despite our initial enthusiasm, we quickly realized it wouldn't be an easy task.

Before getting too far we decided to set a budget. I decided creating a spreadsheet would be the best way to organize and plan the budget. Although it started off that way it quickly started fumbling, we had set a budget for location, decor, invitations, food, and beverages, but we hadn’t thought about things like an outfit for the party, last-minute purchases, party favors, and thank you cards afterward. We had to scramble and stay within budget and ultimately went over and we were disappointed. The expenses can quickly add up and leave feeling overwhelmed and financially burdened before ever starting the party planning process.

After setting a budget, the first thing I did was look for event planning checklists and I found a large variety for graduation parties. The templates had steps and good starting points, but they weren't customizable and the time frames seemed unrealistic. A party involves a multitude of tasks, ranging from selecting a venue, sending invitations, and arranging decorations to planning the menu, coordinating with vendors, and managing RSVPs. Each task requires careful consideration and meticulous planning within a reasonable time frame making it feel like a full-time job. Throughout my search, I wished there was an easier way to manipulate templates, so I don't have to do all the work by creating my own from scratch and being late on important tasks. Crafting a comprehensive to-do list is crucial for staying organized and ensuring nothing is overlooked. However, the process of creating such a list is overwhelming and time-consuming, adding to the already substantial workload of party planning.

Because party planning is like a full-time job we had a lot of family and friends helping us. As much as my sister and I needed the help, sometimes the help felt like more work. It was really frustrating constantly reminding everyone of their role in a way that keeps everyone’s emotions calm. During the week of the party, we were running around getting things prepared that slipped through the cracks. I was busy getting my tasks done, I didn’t have time to remind people of their tasks. From small things like the guest book to no one picking the deserts. We gave everyone designated tasks to help and they still ended up forgetting. This caused a lot of drama and arguing because people committed to a task and simply forgot. We spent up to the last 30 minutes before the party finished setting up. We all ended up late to my sister's special occasion including her and it affected the mood of the party. Collaborating with various individuals involved in the party from keeping track of tasks, follow-ups, and ensuring everyone is completing their can be time-consuming and add to the workload associated with the to-do list.

Pain Points

  • The expenses can quickly add up and leave feeling overwhelmed and financially burdened before ever starting the party planning process.

    1. Venue Costs: Finding an appropriate venue that accommodates the desired number of guests and meets specific requirements can be a significant expense. Rental fees, security deposits, and additional charges for amenities like sound systems or decorations can quickly eat into the budget.

    2. Party Supplies: Basic party supplies such as tableware, napkins, utensils, and other disposable items can be easily overlooked, but their costs can quickly accumulate, especially for larger gatherings. Balloons, banners, party favors, and other miscellaneous items can also contribute to the overall expenses.

    3. Unexpected Expenses: Despite careful planning, unforeseen costs can arise during party preparation. Last-minute changes or emergencies, such as damages to the venue or equipment failures, can result in unexpected expenses that strain the budget.

Determining when each task needs to be completed, accounting for dependencies, and allocating sufficient time for unexpected setbacks can be a challenging aspects of building the to-do list.

    2. Constant Updates and Adjustments: Party planning often requires adjustments and updates along the way. New information, changing circumstances, and unforeseen obstacles need modifying the initial to-do list. Continuously reviewing, revising, and reorganizing tasks can really feel like a job.

    3. Research and Decision-Making: Party planning often involves thorough research and decision-making. This includes exploring various options for venues, catering, entertainment, and decorations. Gathering information, comparing prices, reading reviews, and making informed choices contribute to the complexity and time investment of creating the to-do list.

  • Collaborating with various individuals involved in the party from keeping track of tasks, follow-ups, and ensuring everyone is completing their can be time-consuming and add to the workload associated with the to-do list.

    1. Diverse Schedules and Availability: Coordinating with friends and family members who have varying schedules and commitments can be a major hurdle. Finding a time that suits everyone for meetings, discussions, and decision-making can be difficult, leading to delays and inefficiencies in the planning process.

    2. Balancing Personal Relationships and Planning Dynamics: The dynamics of personal relationships within a group of friends or family members can sometimes complicate the planning process. Emotions, personal histories, and pre-existing dynamics can influence decision-making and potentially hinder effective communication. Striking a balance between personal relationships and efficient planning can be a delicate task.
